Job Overview
The Warehouse Lead plays a key role in coordinating daily warehouse and logistics operations while ensuring compliance with operational, safety, and quality standards. This role focuses on effective stock control, operational efficiency, team coordination, and adherence to company excellence programs to support a high-performing supply chain environment.
Key Responsibilities
Excellence Programmes
- Ensure the implementation and ongoing compliance with VPO and DPO excellence programs within warehouse operations.
- Promote continuous improvement and operational efficiency through established operational standards and best practices.
Safety Management
- Take territorial safety ownership within the logistics operation.
- Conduct shift-based stacking inspections in accordance with legal requirements.
- Monitor fleet management systems and investigate any irregularities to improve driver behavior and safety performance.
- Perform safety behavior observations and set targets for serious incident precursor prevention.
- Ensure operational work instructions and safety procedures are consistently followed.
- Ensure compliance with Department of Labour stacking exemptions and safety regulations.
Quality Assurance
- Ensure adherence to VPO and DPO quality standards across all warehouse activities.
- Maintain effective batch management processes to support traceability of raw materials where applicable.
- Conduct quality checks on inbound and outbound finished goods to ensure compliance with product specifications and standards.
- Verify best-before dates and ensure only compliant stock is received and dispatched.
- Maintain proper storage practices and apply the Freshness and Rotation Policy using FEFO principles.
- Ensure all food safety policies and procedures are followed.
- Process salvage transactions in the ERP system following quality approvals.
Stock Control and Inventory Management
- Execute daily stock counts for finished goods, raw materials, and empties using handheld systems.
- Perform recounts where discrepancies occur and investigate inventory differences between physical counts and system records.
- Implement corrective actions to resolve inventory discrepancies and maintain accurate stock records.
Inbound Logistics
- Verify inbound deliveries to ensure quantities match documentation and system records.
- Confirm quality standards and product age compliance before accepting deliveries.
- Record returns using handheld systems prior to unloading.
- Receive, check, and unload goods before completing goods receipt processes in SAP.
- Monitor delivery schedules and inbound repack plans and escalate risks when necessary.
- Ensure all related documentation is accurate and properly completed.
Outbound Logistics
- Verify outbound shipments to ensure quantities match system records and documentation.
- Confirm quality standards and product age compliance prior to dispatch.
- Update shipment statuses and process dispatch transactions in SAP.
- Monitor outbound planning to ensure warehouse capacity and operational targets are maintained.
- Process return transactions accurately to ensure system records reflect return-to-plant movements.
Operational Interfaces
- Issue raw materials to packaging and brewing operations as required.
- Receive finished goods from packaging lines and issue empty containers back to operations.
- Maintain documentation for all product movements and ensure transactions are accurately recorded in the ERP system.
- Perform daily reconciliation with packaging teams and investigate discrepancies.
Operational Support Activities
- Support documentation sign-offs and trace issues impacting distribution operations.
- Review sampling results and quality performance reports.
- Manage sorting operations by setting daily priorities, monitoring productivity, and ensuring safety compliance.
- Conduct quality checks to ensure sorting standards are maintained and analyze results to identify improvement opportunities.
- Manage pallet repair activities and ensure accurate documentation and ERP recording of all movements.
Breakages and Salvage Management
- Maintain daily breakage registers and report stock losses.
- Process breakages and salvage transactions in the ERP system.
- Ensure finished goods and raw material salvage items are repacked according to VPO and DPO standards.
Decanting and Overpacking Operations
- Coordinate daily priorities for decanting and overpacking activities.
- Monitor productivity and safety performance within these operations.
- Ensure compliance with operational standards and maintain 5S housekeeping practices.
- Process overpacking transactions in the ERP system to ensure accurate inventory records.
Inventory and FEFO Management
- Ensure blocked inventory is accurately recorded in SAP and physically controlled according to VPO and DPO standards.
- Apply FEFO principles in all outbound logistics operations.
- Maintain accurate best-before date records on shipment documentation.
- Ensure correct stock storage, rotation, and effective use of warehouse space.
- Generate bin pulling sheets and maintain bin card accuracy.
Bottle Loss and Cost Management
- Record all loss points within logistics operations including breakages, sorting losses, and inbound losses to maintain accurate financial reporting.
- Ensure system transactions accurately reflect operational losses and support mass balance reporting.
- Follow gate control procedures to minimize unaccounted stock losses.
Equipment and Fleet Management
- Report and coordinate repairs for equipment breakdowns.
- Monitor fleet systems and ensure operational compliance.
- Manage job card approvals and permits to work where required.
Operational Standards and Compliance
- Maintain 5S standards throughout the logistics operation.
- Ensure compliance with internal audit requirements and operational policies.
- Support purchase-to-pay processes and manage invoice or query resolution related to warehouse activities.
General Responsibilities
- Liaise effectively with internal departments and external partners.
- Support team objectives and uphold VPO operational principles.
- Participate in structured shift handovers and ensure all operational issues are communicated and resolved.
Minimum Requirements
- A three-year diploma is highly advantageous.
- At least 3 years of experience in warehouse or logistics operations.
- Advanced computer literacy with strong system navigation skills.
- Proficiency in SAP systems.
- Strong interpersonal skills with the ability to build effective working relationships.
