Purpose of the Job
The role of the Distribution Centre Admin Supervisor is to manage all administrative and financial tasks at the Distribution Centre (DC), ensuring smooth operations and effective management of staff and resources.
Key Responsibilities

Oversee the authorisation and payment of overtime and allowances for permanent and FTC Dynamos.

Consolidate labour broker staff hours and submit monthly reports to the Central Office People Support.

Compile information for meetings and budgets, providing necessary data for decision-making.

Extract data from the Warehouse Management System (WMS) and present it to the DC Manager.

Manage the payroll administration process, coordinating between DC Management and Central Office payroll teams.

Supervise the administration of stock control processes, including receiving, distribution, storage, and quality control (QC).

Monitor and control capital expenditure (Capex) and operating expenditure (Opex) processes.

Maintain and ensure accurate order control sheets and oversee the DC purchase and payment processes.

Analyze general ledger (GL) and variance reports for discrepancies and report to PEP finance and STAR teams.

Reconcile data and identify any discrepancies.

Verify labour broker invoices against approved costing schedules and resolve any issues.

Supervise the payment of weekly and monthly production bonuses for permanent and labour broker staff.

Maintain the Fixed Asset Register (FAR) and ensure all assets are properly accounted for.

Supervise the Admin department, ensuring all orders are processed and approved on SAP.

Monitor actual performance against planned performance in terms of productivity and quality, providing feedback to staff.

Manage leave schedules for Temporary Employment Service (TES) staff, ensuring staffing requirements are met, and arrange for additional tools or equipment as needed.

Ensure staffing needs are met and manage the reporting staff effectively.

Ensure proper procedures are followed regarding new supplier management and maintain relationships with current suppliers.

Communicate and collaborate with stakeholders regarding operational issues within the DC, including Central Office Finance, Receiving, Storage, QC, and Distribution teams.

Ensure daily reporting is completed accurately and on time for the DC Manager.
Requirements

Grade 12 (Matric) certificate.
-
A commercial degree is advantageous.

Minimum of 5 years of supervisory experience.
-
At least 5 years of experience in a Distribution Centre (DC) environment is preferred.

A minimum of 5 years of financial experience.
-
Computer proficiency, particularly in G Suite.
-
Experience in retail and/or SAP is advantageous.
-
Bilingual candidates are preferred.
