Job Overview
The Packaging Inventory Clerk is responsible for ensuring accurate control, monitoring, and management of raw material and packaging inventory. The role focuses on maintaining high standards of inventory accuracy, quality control, and compliance with operational policies while supporting efficient warehouse and supply chain processes.
Key Roles & Responsibilities
- Ensure raw material inventory quality standards are maintained in accordance with VPO requirements.
- Accurately block inventory in SAP and implement physical blocking mechanisms for quality-related and obsolete stock in line with VPO standards.
- Maintain compliance with freshness and stock rotation policies.
- Record inventory counts accurately per storage location, including Best Before Dates (BBD), SKUs, and bin card displays according to VPO standards.
- Apply inventory concession policies based on approved product age standards.
- Ensure all salvaged raw materials are repacked following approved procedures.
- Manage obsolete stock decanting in line with company policy and operational procedures.
- Ensure all received stock is processed and recorded through GRN procedures as required.
- Conduct independent inventory counts and reconcile physical inventory with SAP records.
- Investigate and resolve inventory discrepancies, escalating unresolved issues with action plans where necessary.
- Record all physical movements of inventory accurately in SAP.
- Validate packaging receipts through line counters and verify write-offs using signed documentation and gate sheets.
- Process breakages, obsolete stock, and salvage materials accurately within the system.
- Review and resolve daily controls and open shipments.
- Process claims promptly with appropriate documentation to ensure reimbursements are completed.
- Monitor supply chain overhead budgets against actual costs and provide reporting on variances with action plans.
- Manage daily team workload planning and documentation control processes.
- Maintain strong governance and ensure weekly and monthly stock count compliance.
- Monitor raw material handling, storage conditions, and stock control processes.
- Apply effective waste management practices and maintain housekeeping standards using 5S principles.
- Conduct risk assessments and issue permits to work where required.
- Perform HR and administrative responsibilities related to the function.
- Liaise with internal and external stakeholders to support operational requirements.
- Contribute to team goals while supporting VPO principles and continuous improvement initiatives.
- Perform daily stock reconciliation and ensure weekly PRP compliance.
- Ensure all documentation is properly signed, filed, and securely stored according to inventory control policies.
- Support security compliance through monitoring systems and conducting random verification checks.
- Conduct independent three-point checks on shipments during departure and arrival to ensure compliance.
Candidate Profile
- National Diploma in Finance, Commercial Studies, Supply Chain, Logistics, or a related field.
- 2–3 years of experience in a stock control or inventory management environment.
- Strong knowledge of stock control processes and inventory management practices.
- Proficiency in Microsoft Office and SAP systems.
- Licensed forklift truck driver.
- High attention to detail and strong problem-solving skills.
- Excellent verbal communication and interpersonal abilities.
- Strong organizational and planning capabilities.
- Ability to work effectively in a fast-paced, cross-functional environment.
- Strong customer service orientation and teamwork skills.
- Ability to work independently and manage responsibilities effectively.
