Dis-Chem Pharmacies is offering an exciting opportunity for a Pharma Inventory Graduate in Midrand. The role is designed to support the management of supplier relationships, trading terms, and inventory planning within the Pharma Category. As a Pharma Inventory Graduate, you will assist in forecasting, replenishment, and stock management to ensure product availability while meeting Dis-Chem’s inventory benchmarks. This position focuses on learning and contributing to the effective delivery of products at the right time and place while helping to maintain optimal stock levels.

Minimum Requirements:

Essential:

  • Matric or equivalent Senior Certificate

  • Degree in Supply Chain, Logistics, or Procurement

Job Description:

Vendor Relations and Agreements:

  • Assist in creating and updating vendor agreements for new and existing suppliers.

  • Support the coordination and tracking of vendor agreement signings and renewals, ensuring key deadlines are met.

  • Work with the legal team to ensure vendor contracts are compliant and monitor contract adherence.

  • Help plan logistics for vendor meetings, ensuring necessary materials and stakeholders are prepared.

  • Track vendor performance, ensuring specifications, SLAs, and delivery timelines are met.

  • Maintain positive communication with vendors, building strong, professional relationships.

  • Organize and maintain contract documentation, ensuring it is properly filed and accessible.

Stock Management and Allocation:

  • Assist in replenishing stock to Distribution Centres based on assigned portfolios and maintaining optimal inventory levels.

  • Process orders according to established schedules, ensuring accuracy and timeliness.

  • Monitor daily stock levels in Distribution Centres and track supplier deliveries to meet the required days of supply.

  • Allocate stock in accordance with customer demand, ensuring compliance with Dis-Chem policies.

  • Resolve inbound order issues, returns, and supplier recalls promptly.

  • Maintain the required stock cover as per group or category specifications.

  • Proactively minimize out-of-stock situations and manage back orders effectively.

Category Inventory Maintenance:

  • Assist in reviewing dormant stock reports to determine stores for distribution and IBT execution.

  • Monitor short-dated or expired stock, identifying stores that can utilize it, and ensuring timely action is taken.

  • Consolidate findings and submit stock write-off recommendations to management for approval.

  • Coordinate with DC management and vendors to process stock returns or follow the RTV (Return to Vendor) policy.

  • Ensure predetermined inventory targets, including stock turn, sell-through rates, and stock on hand, are met consistently.

  • Address vendors with less than 95% stock cover and implement corrective measures.

  • Respond to supplier queries on stock, pricing, returns, transfers, and new vendor applications, escalating as needed.

Category Administration:

  • Communicate product information and master data updates to the Master Data team to maintain accurate product records.

  • Report stock-related issues, pricing concerns, and returns to relevant stakeholders for smooth operations.

  • Ensure clear communication of price reductions to internal teams, facilitating the issuance of credit to stores and Distribution Centres once credit notes are received.

  • Actively manage and resolve heat calls related to urgent inventory concerns on a daily basis.

Stakeholder Partnership:

  • Collaborate with Distribution Centre operators to ensure timely supplier deliveries.

  • Work closely with Pharma Inventory Officers and Finance teams regarding trade terms, pricing claims, billing fees, and new vendor applications.

  • Maintain effective communication with suppliers to resolve inventory-related issues promptly.

  • Collaborate with Key Account Managers (KAMs) to strengthen supplier relationships and ensure seamless inventory management.

  • Work with marketing, sales, customer service, and operations teams to address stock shortfalls and ensure timely resolutions.

  • Participate in team meetings to provide updates on company initiatives, progress reports, and execution status.
