Purpose of the Job
Shoprite is seeking a skilled and professional Secretary to provide high-level administrative support to the Head of Operations and Commercial, as well as the broader team within the OK Franchise division. This role plays a critical part in enabling efficient operations through expert coordination, proactive problem-solving, and maintaining high standards of confidentiality and discretion.
Key Responsibilities
Executive & Administrative Support

Manage diaries, schedule meetings, and coordinate local and international travel, including hotel bookings, visa applications, and travel claims

Handle confidential correspondence and ensure all communication is professional and timely

Organise and prepare meeting logistics, including invites, links, room bookings, and access arrangements

Support the Operations and Commercial team with ad hoc projects and events

Prepare reports, presentations, and maintain accurate documentation and records

Manage incoming communications, ensuring timely follow-ups and resolution

Oversee payment requirements, control quotes and expenses, and ensure accurate filing and presentation

Take minutes during meetings and distribute them promptly

Identify and implement improvements in administrative processes and systems
Office Management

Oversee daily operations at the head office, including facilities, equipment, maintenance, and service provider coordination

Draft and distribute internal correspondence such as letters, memos, and forms

Supervise office support staff (e.g., cleaner/tea assistant) and ensure a neat, organised working environment

Maintain both electronic and manual filing systems for efficient document storage and retrieval
Qualifications

Matric / Grade 12
-
Diploma or Certificate in Office Management or a related field
Experience
-
Minimum 5 years’ experience in a secretarial or administrative role

Solid understanding of office administration practices and processes

Proficient in MS Office (Word, Excel, PowerPoint, Outlook, Teams)
Knowledge and Skills
-
Prior experience in a retail or FMCG environment is preferred

Strong organisational and interpersonal skills
-
Ability to work independently, maintain discretion, and pay close attention to detail

A valid driver’s license is essential
