The Senior Operations Supervisor is responsible for overseeing and managing overborder deliveries and collections, ensuring that route KPIs and cost targets are met, and effectively managing resources and vehicles. This role requires supervising staff in accordance with Standard Operating Procedures to ensure smooth and efficient operations.

Key Responsibilities

Operational Management

• Supervise and manage staff processes in the area of responsibility, ensuring adherence to Standard Operating Procedures (SOPs)

• Ensure all operational tasks are completed according to established SOPs

• Maintain and enforce the understanding and documentation of all SOPs within the team

• Ensure efficiency and effectiveness in all tasks and activities

• Resolve operational issues promptly and ensure smooth process flow across the operation

• Oversee the checking of freight to verify that stock matches documentation in terms of condition, quantity, and description

• Ensure completion of administrative tasks related to operations

• Generate, manage, and maintain operational reports as required

• Investigate and resolve discrepancies, damages, shortages, and other operational issues

• Ensure that customer requirements are met consistently

• Conduct daily vehicle inspections to maintain roadworthy conditions

• Report accidents and damages as per company procedures

• Oversee dispatch of drivers for over-border operations, ensuring that briefing and debriefing processes follow SOPs

• Manage petty cash for sleep-outs, permits, and airtime, ensuring proper reconciliation and updates upon drivers’ return

• Plan outbound trips on PLATO and ensure waybills reflect correctly on the trip sheet

• Monitor and ensure that trips are linked in Fleet Vision and any issues are escalated

• Ensure accurate vehicle loading according to trip sheets

• Use Fleet Vision to monitor daily deliveries, ensuring geofencing codes for stops are correct and updated as needed

• Close/close trips in Fleet Vision promptly after route completion

• Monitor collections for over-border routes, ensuring the proper return control procedure is followed

Staff Management

• Ensure that staff remain motivated and productive

• Provide necessary training to staff on operational procedures

• Provide on-the-job training as required

• Minimise overtime and ensure it is only necessary in exceptional circumstances

• Enforce adherence to dress code standards

Quality, Health and Safety, and KPIs

• Ensure customer KPIs are well-understood, managed, and reported on monthly

• Promote continuous improvement within the operation

• Take proactive actions to resolve operational issues

• Maintain high standards of Health and Safety and ensure that monthly checks are conducted as required

• Ensure housekeeping standards are met daily

Minimum Requirements

• Grade 12 (Matric)

• Degree/diploma in supply chain/logistics preferred

• At least 3 years of relevant experience in the logistics environment
