Purpose of the Role
The Senior Operations Supervisor is responsible for managing and overseeing over-border deliveries and collections, ensuring all operational processes meet company standards and customer expectations. This role involves daily supervision of staff, vehicle planning and management, process compliance, and driving performance against route KPIs and cost targets.

Key Responsibilities

Operational Oversight

• Supervise daily operations and ensure all staff within your responsibility area follow Standard Operating Procedures

• Monitor and enforce the correct execution of all processes within the operation

• Maintain up-to-date knowledge and documentation of all operational procedures and ensure compliance at all times

• Resolve operational issues within your scope promptly and effectively

• Ensure smooth workflow throughout the operation and accurate freight checking

• Oversee and perform all administrative tasks relevant to your area, including generating and maintaining operational reports

• Investigate and resolve discrepancies, shortages, damages, or customer queries

• Ensure customer service requirements are consistently met

• Conduct daily vehicle inspections and ensure vehicles are kept in a roadworthy condition

• Report accidents or damages and maintain professional conduct at all times

Driver and Route Management

• Dispatch drivers for over-border trips and carry out full briefings and debriefings in line with SOP

• Issue and reconcile petty cash for sleep-outs, permits, and airtime as per trip planning

• Verify and update sleep-out allowances, reconciling them against actual travel days

• Plan all outbound trips on PLATO daily, ensuring accuracy of waybill data on trip sheets

• Link trips on PLATO to Fleet Vision and escalate system issues when necessary

• Monitor and manage Fleet Vision to ensure delivery execution matches planned routes

• Maintain accurate geofencing data and ensure trip closures occur within the required timeframe

• Ensure vehicle loading follows the correct sequence based on delivery stops

• Manage DPP point accuracy and address updates

• Oversee daily collection inspections and ensure return procedures are followed correctly and efficiently

Staff Management

• Ensure staff remain motivated, productive, and aligned with operational goals

• Provide on-the-job training and ensure all staff are adequately trained across functions

• Monitor staff performance, enforce proper dress code, and manage overtime effectively

Quality, Health, Safety, and KPIs

• Monitor and report on customer KPIs monthly

• Maintain a focus on continuous improvement and proactively address operational inefficiencies

• Ensure all Health and Safety standards are met and enforced

• Perform monthly operational checks and maintain daily housekeeping standards

• Enforce proper dress code and workplace conduct at all times

Minimum Requirements

• Grade 12 (Matric)

• A diploma or degree in logistics or supply chain management is an advantage

• Minimum 3 years of experience in a logistics or operational supervisory role
