Purpose of the Job
The Vehicle Monitoring Coordinator is responsible for supporting daily operational performance by monitoring vehicle movements, managing incidents and faults, and ensuring accurate reporting and communication across departments. The role focuses on procedural compliance, timely issue resolution, safety standards, and operational efficiency to minimize downtime and maintain reliable service delivery.
Key Responsibilities
Vehicle Monitoring and Incident Management
- Monitor all vehicles in accordance with company procedures and systems
- Identify, record, and promptly report deviations, exceptions, and irregularities
- Ensure alarms and alerts are acknowledged and resolved within required timeframes
- Respond to incidents and accidents professionally, following established protocols
Communication and Reporting
- Obtain daily route sheets from the relevant business unit
- Accurately capture and maintain operational and vehicle performance data
- Compile and distribute operational reports to relevant stakeholders in a timely manner
- Ensure all incidents, occurrences, and unusual events are properly documented and reported
Fault Management and Vehicle Repairs
- Update vehicle fault records daily in the system or designated log
- Communicate all identified faults to the appropriate departments or personnel
- Follow up to ensure timely and effective completion of vehicle repairs
- Monitor progress of reported faults to reduce operational delays
Operational Support
- Provide assistance with operational tasks as required
- Maintain professional conduct in all interactions with staff, customers, and external stakeholders
- Adhere to company dress code and grooming standards as outlined in Standard Operating Procedures
Housekeeping, Health and Safety
- Maintain a clean, organized, and orderly workspace at all times
- Comply with all Health and Safety regulations and enforce safe working practices
- Promote a culture of safety, compliance, and accountability
Minimum Requirements
- Grade 12 (Matric)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and related applications)
