Purpose of the Role
The Vehicle Monitoring Coordinator is responsible for ensuring the efficient day-to-day tracking of fleet operations, managing incidents, and maintaining accurate operational records. This role supports operational excellence by ensuring strict compliance with company procedures, safety standards, and reporting requirements. The position plays a key part in minimizing vehicle downtime, enhancing service delivery, and maintaining high levels of professionalism across all interactions.
Key Responsibilities
Vehicle Monitoring and Incident Management
- Monitor vehicle movements in accordance with company policies and operational guidelines
- Identify, document, and promptly report any deviations or exceptions
- Ensure all system alerts and alarms are acknowledged and resolved within required timelines
- Respond to incidents and accidents professionally, following established procedures and protocols
Communication and Reporting
- Obtain daily route sheets from relevant business units
- Accurately capture and maintain records of vehicle performance and operational activities
- Prepare and distribute operational reports to stakeholders within agreed deadlines
- Ensure all incidents and unusual occurrences are properly documented and escalated
Fault Management and Vehicle Repairs
- Record and update vehicle faults daily in the system or logbook
- Communicate identified faults to the relevant departments or responsible personnel
- Follow up consistently to ensure timely resolution and completion of repairs
Operational Support
- Provide general operational support as required
- Maintain professionalism in all interactions with colleagues, clients, and external stakeholders
- Adhere to company dress code, grooming standards, and Standard Operating Procedures
Health, Safety, and Housekeeping
- Maintain a clean, organized, and safe working environment
- Comply with all health and safety regulations
- Promote safe working practices at all times
Minimum Requirements
- Grade 12 (Matric)
- Proficiency in Microsoft Office applications (Word, Excel, and Outlook)
