Purpose of the Job
The Sales Coordinator is responsible for planning and coordinating all project logistics, managing supplier documentation, permits, vehicle arrangements, and client communication. This role ensures accurate costing of materials and consumables, oversees job card processes from start to finish, and delivers strong administrative support including invoicing, quoting, data management, and customer service. The position plays a key role in maintaining smooth operations and delivering high-quality service to clients.
Key Responsibilities
Project Planning and Coordination

Plan and organise all project activities, including flighting schedules and application processes

Manage permits, access arrangements, and ensure all supplier documentation is complete and compliant

Coordinate with sales teams, clients, and stakeholders to ensure seamless project execution

Arrange vehicle logistics for project requirements to ensure timely delivery

Provide clients with regular updates and ensure quality control through photographic evidence and reporting

Calculate and manage costing for materials, inks, and consumables to maintain budget accuracy

Manage job card activities including ETC updates, progress tracking, and on-time closure
General Administrative Management

Maintain accurate clocking sheets and vehicle kilometre records, while providing timely updates to clients

Keep filing systems organised and ensure all project documents are easily accessible

Prepare quotes and manage procurement processes, ensuring efficient sourcing of required materials

Handle monthly billing and invoicing with accuracy and efficiency

Oversee job card loading, management, and closure, ensuring data is correctly captured
-
Prepare and manage waybills for courier services to ensure timely and accurate dispatch
-
Capture and maintain accurate administrative data to support operational efficiency

Assist walk-in clients and suppliers professionally and ensure smooth communication
Minimum Requirements

Grade 12 (Matric)

Print knowledge advantageous

Technical sales experience beneficial
