Purpose of the Position
Ensure the efficient and accurate administration of the corporate vehicle fleet, supporting optimal utilisation, compliance, and cost-effectiveness across all operations. The role is key in maintaining seamless logistics operations and delivering high standards of internal customer service.

Key Responsibilities

Fleet Records

  • Maintain accurate and up-to-date fleet records, including registration changes, new vehicle additions, and cost centre updates
  • Continuously update and reconcile the Asset Register
  • Administer vehicle registrations and annual licence renewals
  • Maintain all required company documents for the Proxy Pack in compliance with regulations
  • Support the Insurance Department with claims by providing accurate vehicle documentation and historical records
  • Distribute fleet cards to drivers and maintain detailed handover records
  • Activate, block, or unblock fleet cards according to operational requirements

Vendor & Supplier Administration

  • Request creation of new vendors in the system to support procurement and service needs
  • Ensure timely processing of all vehicle-related payments to avoid service interruptions or compliance risks

Fuel Cards & E-Tags

  • Request new fuel cards and E-Tags as required
  • Process cancellations and ensure all returned E-Tags are accounted for
  • Prepare quarterly and annual fuel and environmental reports, including kilometres travelled, fuel consumption, and environmental impact
  • Manage and resolve queries related to fleet cards and E-Tags efficiently

Job Requirements

  • Minimum 2 years’ experience in administration, preferably in financial, procurement, or fleet management
  • Grade 12/Matric qualification
  • Valid Code B (08) Driver’s Licence required
  • Strong computer literacy in Microsoft Office Suite and Google Workspace
  • Fleet administration experience is advantageous
  • Vehicle tracking experience is advantageous
  • Demonstrated skills in planning, organising, problem-solving, and attention to detail
