Dispatch Supervisor – Value Logistics
Purpose of the Role
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within a warehouse or distribution environment, with a strong focus on efficient stock movement. This role ensures the timely and accurate dispatch of goods, adherence to company procedures, and compliance with safety standards. The Dispatch Supervisor also leads a team, monitors performance metrics, and drives continuous improvement while maintaining the quality, safety, and security of goods and assets.
Key Responsibilities
Process Management
• Ensure all Standard Operating Procedures (SOPs) are clearly understood, regularly trained, and consistently followed within the dispatch function
• Utilize relevant business systems to effectively manage and monitor dispatch activities
• Plan and execute daily outbound dispatch schedules to meet deadlines
• Allocate staff resources based on operational volumes to maximize efficiency
• Oversee picking operations to ensure timely and accurate order fulfillment
• Ensure availability of required materials and equipment for dispatch operations
• Maintain product integrity by enforcing proper handling and packaging standards
• Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods
• Coordinate with internal teams to resolve issues within agreed timelines
• Arrange and manage vehicle scheduling to support on-time dispatch
• Oversee stock handover processes in line with system requirements
• Ensure correct loading procedures and secure transportation of goods
• Maintain and update Work in Progress (WIP) reports daily
• Ensure accurate and organized filing of all dispatch documentation
• Monitor dispatch reports and communicate performance updates to management
• Analyze operational data and implement improvements to enhance efficiency
Staff Management
• Lead, supervise, and motivate the dispatch team to achieve operational targets
• Plan and allocate workforce effectively to meet daily requirements
• Control and monitor overtime, ensuring it is used only when necessary
• Ensure all team members receive appropriate training and development
Quality, Health & Safety, and KPI Management
• Define, track, and report on dispatch KPIs on a monthly basis
• Drive continuous improvement initiatives within dispatch operations
• Proactively identify and resolve potential operational risks
• Ensure compliance with Quality Management System (QMS) standards
• Manage Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs), ensuring timely resolution
• Monitor QMS objectives and ensure targets are consistently met
• Ensure full compliance with Occupational Health and Safety requirements
• Maintain a clean, safe, and well-organized working environment
MHE and Asset Management
• Safeguard facility, stock, and assets in line with loss control policies
• Track and maintain all operational assets to ensure proper utilization
• Ensure Material Handling Equipment (MHE) is used safely and efficiently
Minimum Requirements
• Grade 12 (Matric)
• Diploma or degree in Logistics, Warehousing, or Business Management is advantageous
• Minimum 5 years’ experience in logistics or warehouse operations, with at least 2 years in a supervisory or management role
Skills and Competencies
• Strong communication and interpersonal skills
• Proficiency in Microsoft Office Suite
• Experience with warehouse and business systems (WMS, V7, My Business)
