Position Overview
Fidelity Vacancies is seeking a professional and organized Receptionist to manage front desk operations and provide administrative support. This role is key in ensuring a welcoming experience for clients, smooth internal communication, and efficient administrative processes.

Key Responsibilities – Front Desk & Client Interaction

  • Greet and assist walk-in clients, directing them to the appropriate departments with professionalism and courtesy
  • Manage incoming phone calls via the switchboard, transferring to the correct staff members
  • Take accurate messages when staff are unavailable and ensure timely delivery
  • Maintain professional and courteous communication within the company

Administrative Support

  • Handle general correspondence and assist with internal relations
  • Manage stationery and office grocery requisitions, including coffee, tea, sugar, and milk
  • Support ad hoc purchases by obtaining supplier quotations, creating requisitions, securing purchase order approvals, placing orders, and verifying received goods
  • Match supplier invoices with purchase orders and submit to branch supervisor
  • Assist with new vendor application processes

Data Capturing

  • Support various departments by accurately capturing job cards and invoices in a timely manner

Finance Support

  • Perform daily banking duties and post banking details to the Q-Drive

Sales Support

  • Receive and log sales leads from phone calls and walk-in clients
  • Forward leads to Sales Administration or Sales Consultants

General

  • Carry out additional ad hoc responsibilities as required

Required Skills & Competencies

  • Proficiency in Microsoft Excel and Word
  • Experience with LSN systems
  • Strong communication and interpersonal skills
  • Ability to multitask and manage time effectively
  • Attention to detail and strong organizational skills
