Purpose of the Job
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within a warehouse or distribution facility. This role ensures timely and accurate outbound logistics, supervises dispatch staff, monitors key performance indicators (KPIs), and drives operational efficiency while maintaining safety, quality, and security of stock and assets.
Key Responsibilities
Dispatch Operations

Ensure all Standard Operating Procedures (SOPs) are understood, trained on, and consistently followed

Use relevant business systems to manage and monitor dispatch processes

Plan daily outbound stock dispatches to meet deadlines
-
Allocate staff resources according to volume requirements for efficiency
-
Oversee the picking process to ensure dispatch timelines are met
-
Confirm availability of materials and equipment required for dispatch activities
-
Maintain stock and packaging conditions, observing product handling requirements
-
Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods
-
Coordinate with internal departments to resolve issues within 24 hours
-
Arrange vehicles to ensure timely dispatch

Supervise the loading process and ensure goods are securely loaded

Manage and update the Work in Progress (WIP) report daily
-
Maintain accurate filing of dispatch documentation
-
Monitor dispatch reports and communicate outcomes to managers
-
Analyse dispatch data and implement process improvements
Staff Management
-
Lead and supervise dispatch team performance
-
Plan resources to meet daily operational needs
-
Monitor and minimise overtime, authorising only when necessary
-
Ensure all dispatch staff receive ongoing training and development
Quality, Health & Safety, and KPI Management
-
Communicate, track, and report dispatch KPIs monthly
-
Drive continuous improvement initiatives within dispatch operations
-
Proactively address potential issues before escalation
-
Ensure compliance with Quality Management System (QMS) procedures
-
Manage Non-Conformance Reports (NCRs), Non-Conformance Procedures (NCPs), and Improvement Opportunities (IOs) with timely closure
-
Maintain QMS objectives and targets
-
Comply with Occupational Health and Safety Act requirements and complete scheduled safety checks
-
Maintain workplace cleanliness and orderliness
Material Handling Equipment (MHE) and Asset Management
-
Ensure security of the facility, stock, and assets per Loss Control policies
-
Track and maintain assets to ensure proper utilisation and upkeep
-
Ensure efficient and responsible use of all Material Handling Equipment
Minimum Requirements
-
Grade 12 (Matric)
-
Diploma or Degree in Logistics, Warehouse, or Business Management (advantageous)
-
Minimum 5 years’ experience in logistics or warehouse operations, with at least 2 years in a supervisory or management role
Skills Requirements
