About the Role
The Flight Operation Administrator plays a vital role in providing comprehensive office and administrative support to the Flight Operations team and Chief Pilot. This position ensures smooth daily operations through effective coordination, communication, and document control within the Flight Operations environment.
Key Responsibilities
- Provide daily administrative and office support to the Flight Operations team and Chief Pilot
- Manage incoming calls, emails, and correspondence to ensure efficient communication flow
- Schedule meetings and appointments, including logistics and venue arrangements
- Prepare and circulate meeting agendas in advance
- Record accurate meeting minutes and distribute action items for follow-up
- Maintain organised filing systems to support audits and compliance requirements
- Serve as the point of contact for Flight Deck crew queries and escalate matters when required
- Liaise with Rostering and Training to manage roster requirements and changes
- Coordinate with HR on crew-related matters, including onboarding and reporting
- Administer updates for new crew members and maintain crew documentation
- Support crew with iPad-related queries, troubleshooting, updates, and device distribution
- Compile, format, and prepare regular and ad hoc reports, including seniority lists and leave reports
- Prepare, update, and distribute Flight Operations documentation to relevant stakeholders
- Maintain operational records, manuals, and reports in line with regulatory and company standards
- Track deadlines to ensure timely system updates and reporting
- Provide administrative support to the Chief Training Captain, Fleet Captain, EBT Manager, Cadet Manager, and Office Pilots
Minimum Requirements
- Grade 12 or equivalent
- 1–3 years’ experience in office administration
- Proven administrative experience
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Strong organisational skills with exceptional attention to detail
- Confident interpersonal skills with the ability to engage internal and external stakeholders
- Clear written and verbal communication skills
- Task-oriented with the ability to multitask and prioritise effectively
- Quick learner with the ability to adapt in a fast-paced environment
Advantageous Experience
- Relevant tertiary qualification
- Aviation or operations experience
