Parts Administrator – Value Logistics
Purpose of the Role
The Parts Administrator is responsible for effective parts inventory control, ensuring the accurate picking, issuing, and tracking of parts to support workshop operations. This role ensures stock availability for scheduled maintenance, maintains accurate records, manages supplier interactions, and supports efficient stock movement while adhering to health, safety, and housekeeping standards.
Key Responsibilities
Operational Duties

Pick and issue parts strictly in line with job card requirements

Maintain and update the backorder report and submit it to the Parts Manager

Record and report daily stock-outs to support timely replenishment
-
Ensure all pre-booked parts are picked or purchased ahead of scheduled vehicle maintenance

Raise purchase orders for non-stock items and buy-outs as indicated on job cards

Liaise with suppliers to follow up on deliveries and collections

Ensure received stock is issued to the workshop without delay against relevant job cards

Conduct accurate cycle counts and participate in full stock takes

Monitor and control parts movement, ensuring all stock transfers are correctly processed

Identify slow-moving or obsolete stock and report findings to the Parts Manager

Track and process all credit returns accurately

Support additional tasks within the Parts Department as required
Housekeeping

Maintain a clean, organised, and efficient work area at all times

Adhere to Value Logistics housekeeping standards and procedures
Health and Safety

Comply fully with all Value Logistics health and safety policies and procedures
General Responsibilities

Demonstrate strong interpersonal skills when dealing with internal and external stakeholders

Work independently, using initiative to complete tasks efficiently and accurately
Minimum Requirements

Grade 12 (Matric)
-
2–5 years’ experience in a parts or stock control environment

Computer literacy
-
Good written and verbal communication skills

Experience working on the Embrace system
