Main Purpose of the Role

The Tender Manager is responsible for supporting the Sales Director and Sales Team in the preparation, coordination, and submission of high-quality tender responses. This role ensures effective management of tender processes, development of compelling sales content, and administration of CRM systems for Contract Logistics. The position plays a key role in delivering winning solutions by coordinating cross-functional teams and maintaining alignment with organizational strategies.

Duties and Responsibilities

Tender Management

  • Lead and coordinate tender activities, ensuring effective project management across the Tender Team
  • Schedule and facilitate tender meetings, tracking progress and identifying potential risks
  • Manage timelines and ensure all submissions meet deadlines and quality standards

Content Management

  • Collaborate with internal stakeholders and subject matter experts to develop compelling and relevant content for tenders and marketing purposes
  • Review and approve all tender-related content to ensure consistency, accuracy, and quality
  • Coordinate the release of content across appropriate platforms in line with communication strategies

Divisional Tender Execution

  • Coordinate responsible stakeholders to ensure all commercial, technical, and contractual sections are completed and compliant
  • Ensure all submissions meet legal and governance requirements with appropriate approvals
  • Maintain accurate tracking systems for tender submissions and award statuses
  • Conduct post-tender evaluations, documenting lessons learned and key outcomes

Cross-Functional Collaboration

  • Support cross-divisional tender submissions with high-quality content and formatting
  • Act as the primary point of contact for tender-related queries from initiation to award
  • Manage collaboration between departments to develop integrated and competitive solutions
  • Ensure a unified value proposition across all tender submissions
  • Drive stakeholder accountability to meet submission deadlines and approval requirements

Sales Collateral Development

  • Analyze tender trends to identify content requirements and opportunities for improvement
  • Develop engaging and relevant sales materials to strengthen tender submissions
  • Work with subject matter experts to capture technical knowledge and translate it into impactful content
  • Maintain and update all sales documentation, ensuring alignment with brand standards and business requirements
  • Ensure all company documentation and certifications are current and accessible

CRM Administration (MS Dynamics)

  • Manage user access, including onboarding and offboarding of CRM users
  • Provide training and ongoing support to ensure effective system adoption
  • Deliver refresher training sessions to keep users updated on new features and best practices
  • Provide first-line support for system-related queries and troubleshoot user issues
  • Coordinate with IT and CRM teams to resolve system or business-related challenges
  • Maintain high data quality standards and ensure accurate record management
  • Support reporting requirements by generating and analyzing CRM reports and dashboards
  • Participate in testing of system updates, enhancements, and bug fixes
