Workshop Manager
Purpose of the Job
The Workshop Manager is responsible for maximising service delivery, sales performance, and profitability by driving high levels of productivity, operational efficiency, and customer satisfaction within the workshop environment.
Key Responsibilities
Staff Management

Manage staff attendance, productivity, and overall performance

Supervise, coach, and motivate teams to deliver a customer-focused service culture

Ensure compliance with dress code and PPE requirements
-
Identify training and development needs and manage performance reviews
-
Conduct regular staff meetings, feedback sessions, and performance appraisals
Workshop Operations, Capacity Planning and WIP
-
Plan and manage daily work-in-progress activities
-
Monitor workshop productivity and efficiency against targets
-
Liaise closely with Service Advisors and the Parts department to ensure parts availability
-
Ensure all vehicles are serviced according to OEM service schedules and requirements
-
Optimise workshop resources to ensure smooth and efficient operations
Customer Service Management
-
Ensure customers are kept informed of vehicle progress at all times
-
Resolve customer complaints promptly and professionally
Workshop Administration
-
Ensure accurate and complete data capture on Embrace, including hour readings, job dates, fault codes, and job types
-
Enforce compliance with all administrative SOPs
-
Oversee accurate costing, sign-off, and closure of job cards
-
Ensure all supporting documentation is attached to job cards, both electronically and manually
-
Manage the timely submission of job cards for filing according to handover schedules
-
Obtain, process, and manage quotations from approved suppliers for outsourced and outwork services
-
Ensure all recoveries are correctly identified and invoiced to external customers
Reporting
-
Review open job card and purchase order reports daily and investigate discrepancies
-
Ensure only valid WIP items remain open
-
Submit all required operational and management reports within agreed timelines
Asset Management
-
Manage and safeguard all workshop assets
-
Report losses or damage and manage asset disposals in line with approved procedures
Recoveries, Warranty and Financial Control
-
Ensure correct recovery and warranty claim processes are followed
-
Manage workshop costs in line with approved budgets
-
Report on profit and loss performance as required
Quality Standards and Apprenticeship Programme

Ensure the workshop is equipped with the correct tools and equipment
-
Conduct regular spot checks to maintain service quality standards
-
Manage and oversee the national apprentice programme across workshops
General
-
Maintain professional conduct at all times
-
Support operational requirements as needed
-
Ensure compliance with housekeeping, health, and safety standards
Minimum Requirements
-
Grade 12 (Matric)
-
3–5 years’ experience in Workshop or Field Service Management
-
Diesel Mechanic qualification would be advantageous
