Purpose of the Job
The Nightshift Controller is responsible for coordinating and supervising all night operations to ensure efficient delivery services. This role oversees driver attendance, route planning, vehicle dispatch, fleet readiness, and compliance with operational protocols.

Key Responsibilities

Operational Management
• Monitor and supervise drivers’ attendance registers and absenteeism to maintain optimal staffing levels
• Oversee loading and preloading of vehicles
• Coordinate all driver-related requirements with the Labour Broker and Regional Manager
• Ensure accurate capturing of drivers’ hours for weekly wage reports
• Manage all fuel-related processes, including refuelling, consumption tracking, card usage, and fuel reconciliation
• Maintain fleet condition according to SEC Manual standards
• Coordinate daily route planning, loading/offloading, documentation handover, and driver dispatch
• Ensure adherence to procedures regarding accident claims, product claims, and vehicle breakdowns
• Maintain effective communication with the Account Manager on all operational matters
• Debrief drivers’ trip sheets and compare against vehicle tracking reports
• Oversee pre- and post-trip inspections, logbooks, workshop bookings, and COF checks
• Manage ad hoc vehicle requirements as needed
• Ensure all driver documentation (PDPs, licences, medicals, certifications) is valid and up to date
• Monitor the issuing and use of PPE and uniforms
• Ensure all vehicles have functional tracking units and arrange repairs when required
• Maintain high housekeeping standards to ensure a safe working environment
• Conduct monthly panic button tests on all vehicles
• Complete and submit monthly tyre surveys
• Ensure all deliveries meet front-end planning requirements
• Confirm load security and safety compliance before dispatch
• Ensure all vehicle keys are safely secured at the end of each shift

Compile and complete all operational reports, including:
• Daily Occurrences Report
• Utilization Report
• Absenteeism Report
• Vehicles in Workshop Report
• Fleet Checklist
• Weekly Site Report
• Fuel Consumption Report
• Vehicle Tracking Reports
• Weekly Cluster Report
• Daily Stats Report
• Fleet Control Report
• Management Report (STOs, average loading times, out-of-area deliveries)

Supervise the completion, handover, and signoff of all customer-related documentation.

Customer Service & Relationship Management
• Build and maintain strong customer relationships by consistently meeting service levels
• Monitor customer KPIs and service agreements to ensure targets are achieved
• Compile and present customer KPIs, operational reports, and feedback
• Proactively highlight and address operational constraints or challenges

Minimum Requirements
• Grade 12 (Matric)
• Proficiency in Microsoft Office Suite
