Purpose of the Role
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within the warehouse, ensuring efficient stock movement and the timely, accurate dispatch of goods. This role oversees outbound logistics planning and execution, ensures compliance with company procedures and safety regulations, and drives continuous improvement in operational efficiency while safeguarding the quality, safety, and security of goods and assets.
Key Responsibilities
Dispatch Operations and Process Management

Ensure all Standard Operating Procedures are understood, communicated, and consistently applied within the dispatch function

Utilise business systems effectively to plan, manage, and monitor dispatch activities

Plan daily outbound dispatch schedules to meet operational deadlines
-
Allocate staff resources according to expected volumes to maximise efficiency
-
Coordinate and oversee picking activities to meet dispatch timelines
-
Confirm availability of required materials, equipment, and vehicles for dispatch
-
Ensure correct handling, packaging, loading, and securement of stock prior to dispatch
-
Investigate and resolve discrepancies related to documentation, vehicles, seals, or dispatched goods

Liaise with internal stakeholders to resolve dispatch-related issues within agreed timelines

Manage handover of stock to relevant departments in line with system and process requirements

Maintain accurate Work in Progress reporting and dispatch documentation

Monitor and analyse dispatch reports, communicating outcomes and improvements to management
Staff Management

Lead, supervise, and motivate dispatch staff to achieve performance targets
-
Plan and manage staffing levels to meet daily operational requirements

Monitor and control overtime, authorising only when operationally necessary

Ensure all team members receive appropriate training and development
Quality, Health, Safety, and KPI Management

Communicate, monitor, and report on dispatch KPIs on a monthly basis
-
Drive continuous improvement initiatives within dispatch operations
-
Ensure compliance with the Quality Management System and related procedures

Raise and close Non-Conformance Reports, Procedures, and Improvement Opportunities within required timeframes
-
Maintain QMS objectives and targets
-
Ensure full compliance with Occupational Health and Safety requirements and scheduled safety checks
-
Maintain high standards of cleanliness, safety, and order within the dispatch area
MHE and Asset Management

Ensure the security of the facility, stock, and assets in line with loss control policies
-
Monitor, maintain, and track company assets to ensure effective utilisation
-
Ensure Material Handling Equipment is used safely, responsibly, and efficiently
Minimum Requirements
-
Grade 12 (Matric)
-
Diploma or degree in Logistics, Warehousing, or Business Management is advantageous
-
Minimum of 5 years’ experience in the logistics or warehouse environment, with at least 2 years in a supervisory or management role
