Job Description

The Aircraft Records Administrator is responsible for the accurate administration, control, and maintenance of aircraft and major module records to ensure regulatory compliance and operational integrity across the FlySafair fleet.

Key Responsibilities

  • Administer records for all new aircraft and major modules entering the FlySafair fleet.

  • Manage documentation for aircraft and major modules exiting the fleet, including lease return records, as directed by the Specialist.

  • Update the MRO system and capture ATLR data for ferry and test flights, including hours, landings, oil usage, defects, and complaints.

  • Support the compilation of lease return folders and digital delivery bibles.

  • File, scan, and archive hard copy documentation in accordance with standards and regulatory requirements.

  • Maintain an organised and compliant document storage environment.

  • Identify discrepancies on ATLRs and missing log pages, and liaise with stakeholders to obtain accurate records.

  • Reconcile hour and cycle variances between the MRO system and ATLR documentation.

  • Update all part changes and movements on ATLRs for inducting aircraft.

  • Verify, file, and manage certificates for on-condition and hard-time components as required.

  • Distribute aircraft records and documentation to relevant departments upon request.

  • Assist with capturing and maintaining work packs when required.

  • Maintain up-to-date knowledge of applicable aviation regulations, policies, and guidelines.

  • Ensure adherence to statutory regulations, organisational standards, policies, and procedures.

  • Report non-compliance and support corrective actions to maintain regulatory compliance.

  • Analyse stakeholder needs and contribute to continuous improvement initiatives.

  • Build and maintain effective working relationships with internal and external stakeholders.

Job Requirements

  • Grade 12 or equivalent (Essential).

  • Certificate or Diploma in Administration or a related field (Advantageous).

  • 5–8 years’ experience in aircraft records control and systems within a mid-sized organisation (Essential).

  • Proven experience working with aircraft documentation and regulatory record requirements (Essential).

  • Experience with a technical maintenance or MRO system (Advantageous).

  • Willingness to work overtime when operationally required.

  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint, Word).

  • Sound knowledge of aviation records management (Essential).

  • Basic financial awareness.

  • Strong communication, planning, and organising skills.

  • Effective interpersonal skills.
