Job Description
The Procurement Specialist is responsible for supporting efficient sourcing, supplier management, and procurement operations to ensure cost-effective, compliant, and timely acquisition of goods and services.
Key Responsibilities

Support the development and execution of effective sourcing strategies to optimise procurement efficiency.

Ensure strict compliance with company policies by procuring only from QA-approved vendors.

Identify, evaluate, and onboard new suppliers in collaboration with the procurement team, including facilitating audits and credit applications with Finance.

Improve procurement agility by streamlining processes and reducing response times.
-
Maintain accurate and complete procurement documentation for audit and compliance purposes.

Monitor procurement spend to identify cost-saving opportunities and support data-driven decisions.
-
Conduct financial analysis of supplier expenditure and prepare reports for management review.

Stay informed on industry trends, market developments, and procurement best practices.

Collaborate with management to enhance procurement systems, productivity, and information flow.

Support supplier performance assessment, risk mitigation, development, and relationship management.

Track and report key procurement metrics to improve performance and control costs.

Monitor backorders in ERP systems to ensure on-time and in-full deliveries.

Manage open requisitions and purchase orders in the ERP system, ensuring timely closure.

Reduce GRV suspense by coordinating accurate and timely invoice processing with Procurement, Warehousing, and Finance teams.

Verify employee clocking times, overtime requests, and leave submissions for management approval.

Ensure adherence to all legal, safety, and procedural requirements.

Assist with procurement and replacement of stock items, ad-hoc commodities, and services.

Maintain strong working relationships with internal and external stakeholders.

Ensure procurement activities align with company specifications and operational needs.
Job Requirements
-
Grade 12 or Equivalent (Essential).
-
Diploma or Degree in Procurement, Supply Chain, or a related field (Essential).
-
Minimum of 5 years’ procurement experience (Essential).

Aviation procurement experience (Advantageous).
-
Willingness to work overtime and standby.
-
Sound knowledge of procurement best practices and sourcing strategies.
-
Understanding of commercial shipping, Incoterms, and regulatory compliance.

Experience with ERP procurement systems such as TRAX or QlikView.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Excellent written and verbal communication skills.

Strong negotiation, networking, and stakeholder engagement skills.
