Job Description
The IT Project Administrator provides comprehensive project office and administrative support by coordinating project activities, managing schedules, arranging assignments, tracking progress, and ensuring effective communication across project teams. The role supports the successful delivery of IT projects through accurate administration, reporting, and governance.

Minimum Requirements

  • NQF Level 4 qualification with 3–5 years relevant experience in a similar role

  • Project management experience or qualification will be advantageous

  • Working knowledge of project management software such as Microsoft Project

  • Experience in recording and reporting actual versus budget expenditure

Key Performance Areas

Project Coordination and Implementation

  • Define project timelines, durations, deliverables, dependencies, and resource allocation in line with scope, budget, quality, and time constraints

  • Coordinate project activities according to approved project plans

  • Monitor project progress and proactively identify and address risks and issues

  • Take responsibility for project tasks assigned by the Project Manager

  • Coordinate and maintain project risk analyses

Project Office Administration

  • Prepare and distribute project documentation in the prescribed Cashbuild format

  • Gather and manage project-related information including user requirements and reference materials

  • Create and maintain filing systems in line with Cashbuild procedures

  • Manage telephone and email enquiries and route appropriately

  • Schedule project meetings, prepare agendas, distribute documentation, capture minutes, and track decisions and actions

  • Communicate meeting outcomes and next steps to stakeholders

  • Attend internal and external meetings as agreed with the Project Manager

  • Order project resources such as equipment and software

  • Perform additional administrative and support duties as required

Quality Assurance

  • Coordinate quality control activities to ensure project deliverables meet agreed standards and requirements

Reporting

  • Measure, track, and report on project performance and progress

Issue and Risk Management

  • Identify, log, and support the resolution of project issues

  • Compile lessons learned and maintain project risk registers

Governance

  • Ensure compliance with Cashbuild project management processes and standards by all project team members

Budget Management

  • Record project expenses accurately

  • Prepare financial reports and forecasts for project expenditure

Customer Service and Stakeholder Support

  • Ensure all work reflects Cashbuild project management quality and accuracy standards

  • Act as a central point of contact for project participants and stakeholders
