Purpose of the Role
The Dispatch Supervisor is responsible for overseeing and coordinating all dispatch and outbound logistics activities within the warehouse or distribution environment. This role ensures the accurate, safe, and timely movement of stock while maintaining compliance with company procedures, quality standards, and safety regulations. The Dispatch Supervisor leads dispatch teams, monitors key performance indicators, and drives continuous improvement to enhance operational efficiency, service delivery, and asset protection.
Key Responsibilities
Dispatch Operations
- Ensure all Standard Operating Procedures are clearly understood, regularly trained on, and consistently followed within the dispatch function.
- Utilise relevant business and warehouse systems to manage, track, and monitor dispatch activities.
- Plan and execute daily outbound dispatch schedules to meet delivery timelines.
- Allocate staff resources according to expected dispatch volumes to ensure operational efficiency.
- Coordinate picking activities to support on-time dispatch.
- Confirm availability and readiness of dispatch materials, packaging, and equipment.
- Maintain stock and packaging integrity in line with handling and quality requirements.
- Investigate and resolve discrepancies relating to documentation, vehicles, seals, or dispatched stock.
- Liaise with internal stakeholders to resolve dispatch-related issues within required timeframes.
- Coordinate vehicle scheduling and availability to support timely dispatch.
- Control and manage the system-driven handover of stock between departments.
- Ensure correct loading practices and securement of goods prior to vehicle departure.
- Update and manage daily Work in Progress reports.
- Maintain accurate and up-to-date dispatch documentation and filing.
- Monitor dispatch performance reports, communicate outcomes, and implement corrective actions.
- Analyse dispatch data and implement process improvements based on performance insights.
Staff Management
- Lead, supervise, and monitor the performance of dispatch personnel.
- Plan resources effectively to meet daily operational demands.
- Control and minimise overtime, authorising it only when operationally necessary.
- Ensure dispatch staff receive appropriate training and ongoing skills development.
Quality, Health and Safety, and KPI Management
- Communicate, track, manage, and report on dispatch KPIs on a monthly basis.
- Drive continuous improvement initiatives within dispatch operations.
- Identify and address potential risks or issues proactively.
- Ensure compliance with Quality Management System procedures and requirements.
- Raise and resolve non-conformance reports and improvement actions within defined timelines.
- Monitor and maintain QMS objectives and performance targets.
- Ensure compliance with occupational health and safety legislation and scheduled safety checks.
- Maintain high standards of cleanliness, organisation, and discipline within the dispatch area.
MHE and Asset Management
- Ensure the security of facilities, stock, and assets in line with loss control policies.
- Track, manage, and maintain assets to ensure optimal utilisation.
- Ensure all material handling equipment is used safely, efficiently, and responsibly.
Minimum Requirements
- Grade 12 (Matric).
- Diploma or Degree in Logistics, Warehouse Management, or Business Management is advantageous.
- Minimum of five years’ experience in the logistics or warehouse environment, with at least two years in a supervisory or management role.
