FlySafair is seeking a detail-oriented Flight Operation Administrator to provide administrative and operational support to the Flight Operations team and the Chief Pilot. The role ensures smooth communication, effective documentation management, and efficient coordination across operational departments.
Job Description
The Flight Operation Administrator will support daily administrative activities within the Flight Operations department while ensuring accurate record keeping and effective coordination with internal stakeholders. Key responsibilities include:
- Provide day-to-day office and administrative support to the Flight Operations team and Chief Pilot.
- Manage incoming calls, emails, and correspondence to ensure efficient communication.
- Schedule meetings and appointments, including coordinating logistics and booking meeting venues.
- Prepare and distribute meeting agendas in advance.
- Record accurate and detailed meeting minutes and ensure timely distribution and follow-up on action items.
- Maintain organised filing systems and ensure documentation is accessible for auditing and compliance purposes.
- Act as the primary contact for Flight Deck crew queries and escalate issues where necessary.
- Liaise with the Rostering and Training departments regarding roster requirements and schedule adjustments.
- Coordinate with the Human Resources department on reports and crew-related matters, including onboarding processes for new Flight Deck crew members.
- Manage administrative updates for new crew members and maintain accurate crew documentation.
- Provide support to crew members with iPad-related matters, including troubleshooting, updates, and device distribution.
- Assist in preparing, compiling, and formatting routine and ad hoc reports, including seniority lists and leave reports.
- Ensure Flight Operations documents are prepared, updated, and distributed to relevant stakeholders.
- Maintain accurate operational records, manuals, and reports in accordance with company and regulatory requirements.
- Track deadlines and ensure system updates and reporting requirements are completed on time.
- Work closely with the Chief Training Captain, Fleet Captain, EBT Manager, Cadet Manager, and Office Pilots to provide timely administrative and operational support.
Job Requirements
- Grade 12 or equivalent qualification (Essential).
- Relevant tertiary qualification (Advantageous).
- 1–3 years of office administration experience (Essential).
- Proven experience in administrative roles (Essential).
- Aviation or operations environment experience (Advantageous).
- Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Strong administrative and organisational skills.
- High attention to detail with a systematic approach to work.
- Strong interpersonal skills with confidence when interacting with internal and external stakeholders.
- Effective verbal and written communication skills.
- Task-oriented with the ability to multitask.
- Ability to learn quickly and adapt to operational requirements.
