Dispatch Supervisor – Value Logistics
Purpose of the Role
• The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within the warehouse
• Ensure accurate, timely, and efficient movement of outbound stock
• Oversee dispatch teams, maintain compliance with procedures, and drive operational performance
• Safeguard the quality, safety, and security of goods and company assets
Key Responsibilities
Dispatch Operations
• Ensure all Standard Operating Procedures (SOPs) are understood, followed, and regularly reinforced
• Utilise business systems to manage and monitor dispatch activities effectively
• Plan and coordinate daily outbound dispatch schedules to meet deadlines
• Allocate staff resources based on operational volumes
• Oversee picking processes to align with dispatch timelines
• Ensure availability of materials and equipment required for dispatch
• Maintain product integrity by ensuring proper handling and packaging
• Investigate and resolve discrepancies related to stock, documentation, vehicles, and seals
• Liaise with relevant teams to resolve issues within required timeframes
• Coordinate vehicle scheduling to support timely dispatch
• Manage stock handover processes according to system requirements
• Ensure correct loading procedures and secure goods before dispatch
• Update and manage Work in Progress (WIP) reports daily
• Maintain accurate and up-to-date dispatch documentation
• Monitor dispatch reports and communicate outcomes to management
• Analyse dispatch data and implement process improvements
Staff Management
• Lead, supervise, and support dispatch staff performance
• Plan workforce requirements to meet daily operational demands
• Monitor overtime and approve only when necessary
• Ensure all staff receive proper and ongoing training
Quality, Health & Safety, and KPI Management
• Communicate, track, and report dispatch KPIs regularly
• Drive continuous improvement initiatives within dispatch operations
• Identify and resolve operational risks proactively
• Ensure compliance with Quality Management System (QMS) procedures
• Manage and resolve NCRs, NCPs, and improvement actions within set timelines
• Monitor QMS targets and ensure performance alignment
• Enforce Occupational Health and Safety standards
• Maintain a clean, safe, and organised work environment
MHE and Asset Management
• Ensure security of stock, facilities, and company assets
• Monitor asset usage and ensure proper maintenance
• Ensure efficient and responsible use of Material Handling Equipment (MHE)
Minimum Requirements
• Grade 12 (Matric)
• Diploma or Degree in Logistics, Warehouse Management, or Business Management (advantageous)
• Minimum 5 years’ experience in logistics or warehousing
• At least 2 years in a supervisory or management role
