About the Role
The Dispatch Supervisor is responsible for managing and coordinating all outbound dispatch operations within the warehouse. This role ensures the accurate and timely movement of goods, supervises dispatch staff, and maintains high standards of safety, quality, and operational efficiency.
Purpose of the Job
The Dispatch Supervisor oversees the planning and execution of dispatch activities, ensuring all processes are followed, deadlines are met, and stock is handled securely. The role focuses on improving efficiency, maintaining compliance, and delivering consistent service excellence.
Key Responsibilities
Process Management
- Ensure all Standard Operating Procedures are understood and followed within dispatch operations
- Utilize business systems to manage and monitor dispatch activities
- Plan daily outbound dispatch schedules to meet delivery deadlines
- Allocate staff resources effectively based on operational volumes
- Oversee picking processes to ensure readiness for dispatch
- Confirm availability of required materials and equipment
- Maintain stock condition and ensure correct handling procedures are followed
- Investigate and resolve discrepancies related to stock, documentation, or dispatch processes
- Coordinate vehicle scheduling to ensure timely dispatch
- Manage handover of stock in line with system and operational requirements
- Ensure correct loading procedures and securement of goods before dispatch
- Maintain and update work-in-progress reports daily
- Ensure accurate and up-to-date documentation and filing
- Monitor dispatch reports and communicate outcomes to management
- Analyse dispatch data and implement process improvements
Staff Management
- Lead, supervise, and support dispatch staff
- Plan and manage workforce allocation efficiently
- Monitor and control overtime, ensuring it is only used when necessary
- Ensure staff receive ongoing training and development
Quality, Health & Safety, and KPI Management
- Communicate and track dispatch KPIs, reporting performance regularly
- Drive continuous improvement within dispatch operations
- Proactively identify and resolve potential issues
- Ensure compliance with quality management procedures
- Manage and resolve non-conformance reports and improvement actions within required timelines
- Maintain adherence to health and safety regulations and standards
- Ensure all safety checks are conducted as required
- Maintain a clean and organised work environment
MHE and Asset Management
- Ensure the security of stock, equipment, and facility assets
- Monitor and maintain proper use of all assets
- Ensure efficient and safe use of material handling equipment
Minimum Requirements
- Grade 12 (Matric)
- Diploma or Degree in Logistics, Warehouse Management, or Business Management is advantageous
- Minimum of 5 years’ experience in logistics or warehouse operations
- At least 2 years in a supervisory or management role
