Position Overview
Fidelity Vacancies is seeking a highly organized Administrator to ensure the smooth and efficient completion of all administrative duties within the department. The role supports technicians, sales, and management while maintaining accurate records and coordinating daily operations.
Qualifications & Experience
- Grade 12 or equivalent
- Minimum 2 years’ experience in administration
- Excellent verbal and written communication skills
- Computer literate (MS Office); experience with Listener is advantageous
Key Responsibilities
Scheduling & Coordination
- Collect and verify quotes for the allocated area
- Assign quotes to technicians and prioritize calls to optimize travel time
- Schedule service and installation jobs efficiently according to capacity and location
- Contact clients to confirm appointments, including telephone and control room bookings
- Assist Sales team in booking technicians for installations
- Manage aged jobs and provide pipeline figures for installations
- Follow up on Top 20, Low Battery, and Overactive lists
- Resolve scheduling queries and escalate issues when required
- Ensure all documentation from OTC is handed to the Technical Manager for allocation
Technical Support & Stock Management
- Assist technicians with loading radios and testing equipment
- Provide technical assistance to clients as needed
- Support EHS compliance
- Order, issue, and control stock; assist with stocktakes and distribution to technicians
- Support technical invoicing and documentation
Administrative & Managerial Support
- Coordinate meetings, agendas, and minute-taking; distribute correspondence as required
- Maintain Manager’s diary, filing system, and operational travel arrangements
- Compile weekly and monthly reports
- Screen documentation and correspondence for the Manager, prioritizing urgent items
- Answer and manage calls directed to the Manager
- Ensure departmental efficiency by providing coverage in the absence of team members
