The Customer Service Agent (Patient Intake and Communications Representative) plays a critical role in delivering an exceptional patient experience by efficiently handling inquiries related to billing, account balances, and appointment coordination. With a focus on empathy and professionalism, you will ensure clear communication, resolve concerns promptly, and maintain patient confidentiality while adhering to established policies.

Key Responsibilities:

  • Coordinate physician schedules to ensure seamless appointment flow.
  • Contact patients to reschedule appointments as needed.
  • Follow up with non-responsive patients to confirm or reschedule appointments (telemarketing).
  • Prepare and distribute weekly doctor schedules to medical/surgical offices and staff.
  • Send requested information packets or mailings to patients and offices.
  • Verify proper documentation in patient records.
  • Manage incoming and outgoing clinical summaries and referrals.
  • Ensure timely receipt of referrals from doctors or insurance providers.
  • Triage calls accurately to maintain compliance with location-specific protocols.
  • Attend on-site training sessions 2-3 times per month.
  • Meet Quality and NPS score targets.
  • Adhere to company policies, including SOPs and the Employee Handbook.
  • Meet Remote Work Technology requirements (as outlined in the addendum).
  • Perform additional duties as assigned.

What You Know (Requirements):

  • Exceptional phone, verbal, and written communication skills, including active listening.
  • Proficiency in email, text, and other digital communication methods.
  • Computer literacy.
  • Minimum 2 years of medical/clinical experience.
  • High school diploma or equivalent.
