Purpose of the Job
The Dispatch Controller is responsible for coordinating and controlling the daily dispatch of goods to ensure accurate planning, efficient stock handling, and complete documentation. This role ensures full compliance with operational procedures, resolves dispatch-related issues timeously, and upholds quality, health, and safety standards to support seamless outbound operations.
Key Responsibilities
Dispatch Operations

Ensure all dispatch Standard Operating Procedures are understood, implemented, and consistently maintained

Operate and utilise all relevant business systems effectively

Plan and manage daily outbound volumes in line with dispatch schedules
-
Allocate and manage staffing requirements to meet operational demands
-
Coordinate accurate picking plans to achieve dispatch volume targets
-
Ensure availability of required equipment and materials for dispatch activities
-
Handle stock in a manner that preserves product quality, packaging, and specific handling requirements
-
Investigate and resolve discrepancies related to documentation, vehicles, seals, or products at dispatch
-
Communicate dispatch-related issues to customers when required
-
Resolve operational issues within 24 hours and escalate unresolved matters to management
-
Arrange and confirm vehicle availability to ensure on-time dispatch of stock

Manage stock handovers to other operations in accordance with system processes

Ensure all loading activities are performed correctly and in line with procedures

Confirm that all dispatched loads are secured prior to departure
-
Maintain and manage the daily Work in Progress (WIP) report
-
Maintain full control of dispatch documentation, ensuring accurate filing and record keeping
-
Analyse dispatch performance reports and implement corrective actions where required
Quality, Health and Safety, and KPIs

Ensure dispatch KPIs are clearly understood, measured, managed, and reported on a monthly basis

Raise Non-Conformance Reports, Non-Conformance Procedures, and Improvement Opportunities daily as required

Ensure all NCRs, NCPs, and IOs are closed within the prescribed lead times
-
Uphold all Health and Safety standards and ensure compliance with Occupational Health and Safety legislation
Minimum Requirements

Grade 12 (Matric)
-
Degree or diploma in Supply Chain, Logistics, or Warehousing will be advantageous
-
Minimum of 3 years’ experience in a warehousing or dispatch environment
