Dispatch Supervisor – Value Logistics

Purpose of the Job
The Dispatch Supervisor is responsible for managing and coordinating all dispatch operations within the warehouse related to the movement of stock. This role ensures that goods are dispatched accurately and on time while maintaining compliance with company procedures and safety standards. The Dispatch Supervisor oversees dispatch staff, monitors key performance indicators, and drives operational improvements to ensure efficient and reliable outbound logistics.

Key Responsibilities

Process Management

  • Ensure all Standard Operating Procedures are clearly understood, regularly communicated, and consistently followed within the dispatch function
  • Utilize relevant business systems to manage and monitor dispatch activities effectively
  • Plan daily outbound dispatch schedules to ensure all deadlines are met
  • Allocate staff resources according to operational volumes to maintain efficiency
  • Oversee the picking process to ensure orders are prepared in line with dispatch schedules
  • Confirm availability of required materials and equipment for dispatch operations
  • Ensure stock and packaging are maintained in good condition and handled according to product requirements
  • Investigate and resolve discrepancies related to dispatch documentation, vehicle details, seals, or goods
  • Liaise with relevant stakeholders when issues arise and ensure resolutions are implemented promptly
  • Coordinate vehicle arrangements to ensure timely and efficient dispatch of goods
  • Manage the handover of stock to other departments or operations according to system requirements
  • Ensure correct loading procedures and proper securing of goods before vehicle departure
  • Update and maintain the Work in Progress report daily
  • Maintain accurate and organised filing of dispatch documentation
  • Monitor dispatch reports and communicate outcomes to management
  • Analyse dispatch data and implement operational improvements where necessary

Staff Management

  • Supervise and manage the performance of dispatch staff
  • Plan and allocate resources to meet daily operational demands
  • Monitor overtime and authorise it only when operationally necessary
  • Ensure dispatch staff receive appropriate training and development

Quality, Health and Safety, and KPI Management

  • Communicate, track, and report dispatch key performance indicators on a regular basis
  • Promote continuous improvement within dispatch operations
  • Proactively identify potential operational issues and implement corrective actions
  • Ensure compliance with Quality Management System procedures
  • Manage Non-Conformance Reports, Non-Conformance Procedures, and Improvement Opportunities, ensuring timely resolution
  • Monitor and maintain quality objectives and operational targets
  • Ensure compliance with occupational health and safety regulations and conduct scheduled safety checks
  • Maintain a clean, safe, and organised work environment

Material Handling Equipment and Asset Management

  • Ensure the security of the facility, stock, and company assets according to loss control policies
  • Maintain and track operational assets to ensure proper utilisation and maintenance
  • Ensure material handling equipment is used safely, efficiently, and responsibly

Minimum Requirements

  • Grade 12 (Matric)
  • Diploma or Degree in Logistics, Warehouse Management, or Business Management beneficial
  • Minimum of 5 years’ experience in the logistics or warehouse industry, including at least 2 years in a management role

Skills Requirements

  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office applications
  • Experience using operational systems such as warehouse management systems and business platforms
  • Strong attention to detail
  • Effective problem-solving and analytical abilities
  • Strong sense of accountability and responsibility
  • Leadership and team management capabilities
  • Sound decision-making skills
  • Ability to investigate and resolve operational discrepancies effectively
