Invoicing Verifier
Purpose of the Job
The Invoicing Verifier is responsible for ensuring the accurate and efficient processing of invoices, insurance declarations, and operational documentation within a logistics or shipping environment. This role manages billing processes, prepares customs and disbursement invoices, reconciles charges using internal systems such as Shipshape, and ensures all supplier costs are accounted for prior to customer invoicing.
Key Responsibilities
Billing and Invoicing
- Prepare second invoices for shipment and disbursement costs when requested by the customer.
- Capture customs invoices according to schedule and scan supporting documents for email submission.
- Ensure all charges are accurately billed and reflected in Shipshape balances.
- Confirm all supplier costs within shipment files are recovered before generating customer invoices.
Statement Management
- Distribute daily, weekly, and monthly statements via email.
- Obtain read receipts for all statement communications.
Filing and Document Control
- Accurately file all relevant invoices and credit notes within shipment files.
Insurance Administration
- Ensure timely and accurate invoicing of insurance-related customers.
- Prepare monthly insurance declarations and submit them to the Insurance Department for broker payments.
- Scan and email all required documentation when requesting insurance certificates.
- File all insurance declarations in the appropriate physical or digital files.
General Administrative Support
- Maintain professionalism in all communication and conduct.
- Assist with tasks in other departments as required.
Minimum Requirements
- Grade 12 (Matric)
- Minimum 2 years’ experience in invoicing
- Experience in the Clearing and Forwarding environment
- Proficiency in systems such as Shipshape
- Strong accounting and mathematical skills
