Parts Administrator – Value Logistics
Purpose of the Role
The Parts Administrator is responsible for managing inventory control, ensuring accurate stock management, and supporting workshop operations through the timely picking and issuing of parts. The role includes maintaining updated stock records, managing backorders, liaising with suppliers, and ensuring parts availability for scheduled maintenance. This position requires strong organizational skills, attention to detail, and adherence to health and safety standards while working independently and efficiently.
Key Responsibilities
Operational Duties
- Pick and issue parts in accordance with job cards
- Update and distribute backorder reports to the Parts Manager
- Record and report daily stock-outs to ensure timely replenishment
- Ensure all pre-booked parts are prepared before vehicles arrive for scheduled maintenance
- Raise purchase orders for non-stock items or buy-outs as per job card requirements
- Follow up with suppliers regarding deliveries and collections
- Ensure prompt issuing of received stock against job cards without delays
- Conduct accurate cycle counts and full stock takes
- Monitor and track stock movements and ensure all transfers are completed and recorded
- Identify slow-moving or obsolete stock and report to the Parts Manager for action
- Track and process all credit returns accurately
- Perform additional duties as required within the Parts Department
Housekeeping
- Maintain a clean, organized, and orderly work environment
- Adhere to company housekeeping standards at all times
Health and Safety
- Comply fully with all company Health and Safety policies and procedures
General Responsibilities
- Demonstrate strong interpersonal skills when dealing with internal and external stakeholders
- Work independently, showing initiative and accountability in task completion
Minimum Requirements
- Grade 12 (Matric)
- 2–5 years’ experience in a Parts or Inventory environment
- Computer literate
- Strong written and verbal communication skills
