About the Program
Purpose of the Job
The Parts Administrator is responsible for managing and maintaining accurate inventory records, ensuring timely picking and issuing of parts, tracking stock levels, and supporting workshop operations. This role includes handling backorders, liaising with suppliers, conducting stock counts, identifying slow-moving or obsolete stock, and ensuring all scheduled maintenance requirements are met. The Parts Administrator maintains a clean, organised work environment while adhering to health and safety standards.
Key Responsibilities
Operational
- Pick and issue parts according to job cards
- Update backorder reports and communicate with the Parts Manager
- Record and report daily stock-outs, ensuring prompt replenishment
- Ensure pre-booked parts are ready before scheduled maintenance
- Raise purchase orders for non-stock items or buy-outs indicated on job cards
- Follow up with suppliers on deliveries and collections
- Process received stock efficiently to avoid delays in issuing parts
- Conduct accurate cycle counts and stock takes
- Track parts movement and ensure all stock transfers are completed and monitored
- Identify slow-moving or obsolete stock and advise the Parts Manager
- Process credit returns and maintain accurate records
- Perform additional tasks as required within the Parts Department
Housekeeping
- Maintain a clean and organised work area
- Follow company housekeeping procedures to ensure a tidy environment
Health and Safety
- Comply with all Value Logistics Health and Safety procedures and requirements
General
- Demonstrate strong interpersonal skills and customer service focus
- Work independently and take initiative in completing tasks
Minimum Requirements
- Grade 12 (Matric)
- 2–5 years of parts or inventory experience
- Computer literate
- Good written and oral communication skills
- Relevant work experience in parts or inventory management
