About the Program
Purpose of the Job
The Workshop Manager is responsible for maximising service, sales, and profitability by ensuring optimal productivity, operational efficiency, and customer satisfaction within the workshop.
Key Responsibilities
Staff Management
- Manage staff attendance, productivity, and efficiency
- Supervise, coach, and develop staff to maintain a customer-focused environment
- Ensure staff comply with dress code and PPE requirements
- Identify training needs and oversee staff development
- Conduct performance reviews and appraisals
- Hold regular staff meetings and feedback sessions
Workshop Operations, Capacity Planning & Work in Progress (WIP)
- Plan daily WIP activities and monitor workshop productivity
- Coordinate with Service Advisors and Parts department to ensure parts availability
- Ensure all vehicles are serviced according to OE service schedules and requirements
- Optimise workshop operations and resource utilisation
Customer Service Levels
- Keep internal and external customers updated on vehicle progress
- Resolve customer complaints promptly
Workshop Administration
- Ensure accurate data input in Embrace, including hour readings, job start/end dates, fault codes, and job types
- Adhere to all administration SOPs
- Ensure accurate costing and closing of job cards
- Attach all required documents to job cards manually and electronically
- Submit job cards to Isando filing room as per monthly schedule
- Request, receive, and process quotations from preferred suppliers for outsourced jobs
- Sign off job cards and ensure all recoveries are invoiced to external customers
Reports
- Pull and review open job card and purchase order reports daily to ensure only WIP items remain open
- Submit required reports to management on time
Asset Management
- Manage and maintain all company assets
- Report losses or damages and request asset disposal according to SOP and authority schedules
Recoveries and Warranty Claims
- Ensure proper recoveries and warranty processes are followed
Financials / Budget
- Manage workshop budgets efficiently
- Report on profit and loss as required
Quality Standards
- Ensure the workshop is equipped with the correct tools and equipment
- Conduct spot checks to maintain service standards
Apprentice Programme
- Oversee the apprentice programme across all workshops nationally
General
- Maintain professional conduct and compliance with company dress code
- Assist with operational functions as required
- Maintain daily housekeeping and adhere to Health and Safety standards
Minimum Requirements
- Grade 12 (Matric)
- 3–5 years of Workshop or Field Service Management experience
- Diesel mechanic qualification advantageous
