Workshop Manager – Value Logistics

Purpose of the Role

The Workshop Manager is responsible for maximizing service excellence, operational efficiency, sales performance, and profitability within the workshop environment. This role ensures optimal productivity, effective resource management, high-quality service delivery, and strong customer satisfaction in line with company standards and operational objectives.

Key Responsibilities

Staff Management

  • Manage staff time and attendance, productivity, and overall efficiency
  • Supervise, coach, and develop team members to maintain a customer-focused environment
  • Ensure compliance with dress code and PPE requirements
  • Identify training needs and support staff development initiatives
  • Conduct performance reviews and appraisals as required
  • Hold regular team meetings and provide ongoing feedback

Workshop Operations, Capacity Planning, and WIP Management

  • Conduct daily Work in Progress (WIP) planning
  • Monitor workshop productivity, efficiency, and workflow
  • Collaborate daily with Service Advisors and the Parts Department to ensure parts availability
  • Ensure all vehicles are serviced according to Original Equipment (OE) service schedules and requirements
  • Optimize workshop resources to ensure smooth operational flow

Customer Service Excellence

  • Keep internal and external customers informed about vehicle progress
  • Ensure customer queries and complaints are resolved promptly and professionally

Workshop Administration

  • Ensure 100% accurate data capture in Embrace, including hour readings, job start and end dates, fault codes, and job types
  • Adhere strictly to all administrative Standard Operating Procedures
  • Ensure accurate costing and proper closing of job cards
  • Verify that all required documentation is attached to job cards, both manually and electronically
  • Submit job cards to the designated filing process according to schedule
  • Obtain and process quotations from approved suppliers for outsourced work
  • Sign off job cards in accordance with company procedures
  • Ensure all recoveries are captured and invoiced appropriately

Reporting

  • Review open job card reports daily to ensure only active WIP remains open
  • Investigate and report on WIP status to management
  • Review open purchase order reports daily and resolve discrepancies
  • Submit all required reports to management within agreed timelines

Asset Management

  • Manage and safeguard all company assets within the workshop
  • Report any loss or damage immediately to management
  • Ensure asset disposal procedures are followed in accordance with SOPs and authorization guidelines

Recoveries and Warranty Management

  • Ensure correct recovery and warranty claim procedures are followed and processed accurately

Financial and Budget Management

  • Manage workshop operations in a cost-effective manner aligned with approved budgets
  • Monitor and report on workshop performance, including profit and loss where required

Quality Standards

  • Ensure availability of appropriate tools and equipment
  • Conduct regular quality checks to maintain service standards

Apprentice Programme Management

  • Oversee and support the national apprentice programme within workshops

General Responsibilities

  • Maintain professional conduct at all times
  • Support operational functions as required
  • Ensure adherence to Standard Operating Procedures regarding dress code
  • Maintain daily housekeeping standards
  • Uphold all Health and Safety regulations

Minimum Requirements

  • Grade 12 (Matric)
  • 3–5 years’ experience in Workshop or Field Service Management
  • Diesel Mechanic qualification advantageous
