Purpose of the Job
The Vehicle Monitoring Coordinator is responsible for supporting daily operational efficiency by monitoring vehicle activity, managing incidents and faults, and ensuring accurate reporting and communication. This role focuses on procedural compliance, professional conduct, and maintaining health, safety, and housekeeping standards. It ensures all vehicle-related issues are addressed promptly to minimise downtime and support effective service delivery.
Key Responsibilities
Vehicle Monitoring and Incident Management
- Monitor vehicles according to company procedures.
- Identify, record, and report deviations or exceptions promptly.
- Acknowledge and address all alarms within the required timeframe.
- Respond to incidents and accidents professionally, following company protocols.
Communication and Reporting
- Obtain daily route sheets from relevant business units.
- Accurately record all operational and vehicle performance information.
- Compile and distribute operational reports to stakeholders on time.
- Log and report all occurrences and unusual events accurately.
Fault Management and Vehicle Repairs
- Update vehicle faults daily in the system or log.
- Communicate faults to the appropriate personnel or departments.
- Follow up to ensure timely and effective vehicle repairs.
Operational Support
- Assist with operational tasks and functions as required.
- Maintain professional conduct when engaging with staff, customers, or external parties.
- Adhere to company dress code and grooming standards outlined in SOPs.
Housekeeping, Health, and Safety
- Maintain cleanliness and order in the work area daily.
- Comply with Health and Safety regulations and follow safe working practices consistently.
Minimum Requirements
- Grade 12 (Matric)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
